I'm Victoria. I run VAPA London, which is a fancy way of saying I'm the person who sorts out the stuff you keep meaning to get to but never quite do.

I've spent over 20 years working as a PA in all sorts of environments, from corporate firms to startups to supporting private families. What I've taken from all of it is pretty simple: the best support doesn't feel like a system. It just feels like someone's got your back.

I work with small business owners, coaches, consultants, and people who are brilliant at what they do but are drowning in the admin that comes with it. The kind of people whose to-do list follows them to bed.

I don't start with a menu. We have a chat, I work out what's actually taking up your time, and then we figure out the right way to work together.

What does a virtual assistant actually do for a coach?

I take on the admin that builds up while you're actually with clients. For most coaches that means sorting the inbox, keeping the diary straight, chasing the invoices that never quite get paid, and following people up so nothing slips. The bits that sit at the back of your brain all day and never get to the top of the list. You stay on calls and in sessions. I get the rest done quietly in the background.

How much does a virtual assistant cost in the UK?

I charge £45 an hour. If you'd rather have regular ongoing support, monthly retainers start from £450 and we agree the hours upfront so you always know exactly what you're getting. The way I think about it is simple. If an hour with a client is worth more to you than an hour of admin, handing me the admin usually adds up.

What's the difference between hiring a VA and taking on a part-time PA?

A VA is freelance, so there's no employment contract, no payroll, no holiday pay, no desk to find. You pay for the work you actually need, whether that's a few hours a week or a set monthly amount, and you can move it up or down as your year changes. A part-time employee makes sense when you need someone fixed and on the team day to day. For most solo coaches the flexible version fits better, especially around school holidays and busy launch periods.

How do I know if I'm ready to hire a virtual assistant?

Usually when the admin has started living in your head rent free. If you're doing invoicing and inbox catch-up at 9pm after the kids are down, or you keep meaning to reply to someone and three weeks have somehow gone by, that's normally the sign. You don't need a huge business or a long list of tasks. Most people start with the one thing that's been niggling at them the longest and we go from there.

What should I look for when hiring a virtual assistant?

Someone who asks about your business before they talk about their packages. Good support isn't really about the task list, it's whether they actually understand what's pulling your attention away from clients. I'd look for clear turnaround expectations from the start, someone who tells you how they work rather than just saying yes to everything, and a proper first conversation rather than a hard sell. Skills matter, but the fit and the trust matter more.

Do you only work with coaches in London?

No, I work with people all over the UK. VAPA is based in South London but everything I do is remote, so where you are doesn't really matter. Most of my clients are coaches and wellness professionals, but I've supported all sorts, from a personal trainer to a housekeeping business. If you're a solo business owner buried in admin, the location is the least important part.

How does it work when you start with someone new?

We start with a chat, normally half an hour, so I can understand what's actually taking up your time. After that I'll suggest a way to take some of it off your plate, and we agree the hours and how we'll work together before anything starts. Then I get going on the first things and we find a rhythm as we go. No long forms to fill in, no big commitment to sign up front.
